How it works
QR code and GPS clock-in: how it works on site
No time clock to install, no tablet to look after: all you need is the worker's smartphone.
1. One QR code per site
V-Site generates the site code: print it and put it at the entrance, in the site hut or on a vehicle. Opening a new site means generating a new code in seconds.
2. The worker clocks in from their smartphone
They open the V-Site app, scan the code and that's it. V-Site records the time, the site and the GPS position at that moment. With no signal on site, the clock-in stays on the phone and syncs as soon as the network is back.
3. The office sees everything in real time
Who is on site, since when and on which project. Hours immediately become project cost and, at month end, a report ready for your payroll provider or payroll software.
Every clock-in is tied to the worker's personal account, so nobody can clock in for a colleague, and clock-ins outside the site perimeter are flagged. Read more on QR code time tracking and crew attendance management.
Privacy and compliance
Attendance and GPS: worker privacy and GDPR
It is the question we get most often: "can I record my workers' location?". V-Site is built to collect the minimum needed: position is captured only at the moment of clock-in, to confirm the worker is on site. There is no continuous tracking during the working day.
The data controller remains the company, which must inform workers about the purposes and retention of the data and comply with the rules on remote monitoring in Italian employment law, alongside GDPR obligations. V-Site provides the tools: data restricted to authorised roles, history you can consult and export, deletion on request.

Construction management software: frequently asked questions
How does QR clock-in work with V-Site?
All you need on site is a printed QR code. The worker scans it with the V-Site app on their own smartphone: the system records the time, the site and the GPS position, even offline, syncing as soon as the network is back.
Can attendance be exported for payroll?
Yes. Hours, overtime, holidays, leave and sick days flow into the attendance module and produce a monthly report ready to send to your payroll provider or import into payroll software.
Does GPS tracking comply with privacy rules and GDPR?
Position is captured only at the moment of clock-in, to confirm presence on site: there is no continuous tracking. The company remains the data controller and must inform workers; for the privacy notice and formal steps, refer to your advisor.
How are site costs and margin calculated?
V-Site combines crew hours, materials, vehicles and supplier costs with the project budget: you see spend to date, physical progress, cost-to-cost, estimate at completion and margin while work is in progress.
Does V-Site handle payslips and tax statements?
Yes. Payslips and year-end statements are uploaded to the platform and reach the worker in the app, with a read receipt: no hand delivery, no printing in the office.
Does V-Site manage the company fleet?
Yes. Every vehicle has its own record with maintenance, costs, suppliers, deadlines with alerts, site assignment and position.
