The problem

A fleet managed from memory costs more than it seems

In many companies vehicles are managed with an Excel sheet, a few invoices in a binder and the memory of whoever drives them. You know the result: an expired inspection discovered at a roadside check, a van off the road because nobody remembered the service, maintenance costs nobody can assign to the right site.

With V-Site every vehicle has a single record: data, documents, maintenance with cost and supplier, deadlines, assigned site and position. Deadlines go into the company deadline tracker with automatic alerts, and usage costs go into the cost control of the site the vehicle works on.

What's included

Everything you need to manage your vehicles

A record for every vehicle

Maintenance history

Every job recorded with date, cost, supplier and invoice number. You know what each vehicle has cost and who worked on it.

Deadlines with alerts

Inspections, services, insurance, road tax and periodic checks on cranes and platforms, with automatic alerts before they fall due.

Assignment to sites

Every vehicle is assigned to the site where it works: you always know where your vans and machines are.

Costs on the site

Vehicle use goes into the vehicles category of site cost control, alongside materials and labour.

GPS positions and Vehicles 4.0

Vehicle positions at your fingertips and, with the Vehicles 4.0 add-on, integration with tracking platforms.

How it works

From the vehicle record to the site cost

1

Register the vehicle

Enter data, documents and deadlines for every vehicle or piece of equipment.

2

Assign it to a site

The vehicle is linked to the site where it works and its use becomes a cost of that site.

3

Record maintenance

Every job with cost, supplier and invoice: the history builds itself.

4

Get the alerts

Before inspections, insurance and services, the people responsible get an alert.

Benefits

What changes with a fleet under control

  • No vehicles off the road for forgotten deadlines: inspections and insurance always up to date
  • Real costs per vehicle and per site: you know which vehicles cost too much and where they work
  • Complete history: useful to decide when to replace a vehicle or change garage
  • Documents always available, even from the phone during a roadside check
FAQ

Company fleet management: your questions answered

Which vehicles can I manage with V-Site?

Any company vehicle: cars, vans, trucks, construction machinery and equipment. Each vehicle has a record with data, documents, maintenance, deadlines and the site it is assigned to.

Does V-Site remind me of vehicle deadlines?

Yes. Inspections, services, insurance, road tax and periodic checks go into the company deadline tracker, with automatic alerts to the people responsible before they fall due.

Do vehicle costs go into site costs?

Yes. When a vehicle is assigned to a site, its use goes into the vehicles category of that site's cost control, together with materials, labour and expenses.

Can V-Site connect to vehicle tracking platforms?

Yes, with the Vehicles 4.0 add-on, available from the Premium plan. The cost depends on the number of platforms to integrate; platforms not yet integrated are assessed with a technical analysis.
